Privacy Policy
This page follows a note from the moment you write to us to the day we delete it, and says plainly what the website itself does and does not keep.
Business operator responsible for personal information
Saffron Field Haven 3-10-5 Tachibanadori-nishi, Miyazaki, Miyazaki 880-0001, Japan Phone: +81 985-70-4220 Email: info@saffronfieldhaven.comWho we are and what this covers
Saffron Field Haven ("we", "us") is a small studio in Miyazaki that offers herb-bed consultations, saffron crocus planting sessions and spice craft workshops. This policy covers saffronfieldhaven.com and the personal information you share with us by email, phone or in person while a service is being arranged or delivered.
We handle personal information in line with Japan's Act on the Protection of Personal Information (APPI) and the guidelines issued under it. If you are visiting from another country with its own privacy law, we aim to respect those rights as well wherever they apply to a studio of our size.
How your information is handled
-
1. What we collect
- When you write to us: your name, email address, an optional phone number, which service you are curious about and whatever you tell us about your balcony, garden or kitchen.
- When you book: preferred dates, the address for a home visit and, for workshops, any food allergy you choose to mention.
- Photos: pictures of a planting spot that you decide to send us by email.
- We do not ask for dates of birth, identity numbers or health information beyond the allergy note you volunteer.
-
2. How the website form works
The form on the home page and the contact page does not send anything to a server of ours. Pressing its button opens your own email app with the note already filled in. The message leaves your device only when you press Send there, and it then travels through your email provider to info@saffronfieldhaven.com.
If your browser blocks scripts, the button leads to a short page explaining that nothing was sent; in that case please email or phone us instead.
-
3. Why we use it
- To answer your note and suggest a sensible starting point.
- To prepare a visit or session: light and drainage questions for a herb bed, planting dates for saffron, ingredient choices for a workshop.
- To confirm dates, prices and payment details in writing.
- To send the follow-up message that is part of the consultation, or the flowering-time check-in that is part of the planting session.
We do not use your details for automated decisions, profiling or advertising.
-
4. What the website itself stores
The website sets no analytics, advertising or tracking cookies and loads no third-party scripts, fonts, maps or videos. In your browser it keeps one small entry,
cookie_notice_seen, so the cookie notice does not return on every page. The Cookie Policy describes it in full.Whoever hosts the site may keep ordinary access logs (time, page, IP address). We do not use them to identify visitors.
-
5. How long we keep it
- Enquiries: only as long as needed to answer you and to follow up on what you asked for; when a conversation has clearly ended, we remove it when we next tidy the mailbox.
- Booking confirmations and payment records: for as long as Japanese tax and commercial rules require.
- Allergy notes: used for the workshop and removed afterwards unless you ask us to keep them for a later one.
- Photos of your garden: removed once the plan or calendar made from them has been delivered, unless you ask us to keep them.
-
6. Sharing with others
We do not sell or rent personal information and we do not pass it to advertising networks or data brokers.
Your email provider and ours carry the message; the bank or payment method named in a booking confirmation sees the payment itself; authorities receive information only where the law requires it. If we ever use a provider located abroad for email or booking, we will say so on this page and follow the cross-border rules of the APPI.
-
7. Keeping it safe
We keep the number of places where your details sit small: the mailbox and, for a session, the notes needed on the day. Only the people handling your booking read them, the mailbox is password-protected, and session notes are deleted when they are no longer needed.
No system is perfectly secure. If a leak that may harm your rights occurs, we will tell you and notify the Personal Information Protection Commission as the law requires.
-
8. Children and group bookings
Bookings are made by adults aged 18 or over. Younger guests may join a workshop with a parent or guardian, and we collect nothing from them directly.
If you book for friends or family, please share this page with them and give us only the details they are happy for you to pass on.
Your rights
Under the APPI you may ask us to tell you what personal information about you we hold, to correct it if it is wrong, to stop using it for a purpose you did not agree to, or to delete it when it is no longer needed. You may withdraw any consent you gave, and doing so does not undo what was lawfully done before.
- Access - a copy of what we hold about you.
- Correction - fixing anything inaccurate or out of date.
- Deletion or stopping use - when the information is no longer needed or was handled improperly.
- Withdrawing consent - at any time, by email or phone.
To make a request, write to info@saffronfieldhaven.com or call +81 985-70-4220, or use the contact page. We may ask you to confirm who you are, we answer within a reasonable time, and we charge only the fee the law allows for a disclosure request.
Questions and complaints
If something about the way we handled your information worries you, tell us first; we would much rather put it right than have you wonder. You can also contact the Personal Information Protection Commission or your local consumer affairs centre (shohi seikatsu senta).
You are never required to give us personal information to browse this website. If you prefer not to share your details, you can read every page without writing to us, and you can book by phone instead of email.
Changes to this policy
We update this page when our services, the website or the law change, for example if we ever add analytics, a booking system or a mailing list. The date at the top shows the latest revision, and any new use of your information would be explained here before it starts.
